Terms & Conditions – Travel Package Agreement

These Terms & Conditions (“Agreement”) govern the booking and use of travel services provided by Vyas Tours & Travels. By booking a tour with us, the client agrees to these terms in full.

1. Booking Confirmation

• Bookings are confirmed only upon receiving a minimum 30% advance payment or 50,000 INR per person whichever is less.
• 2^nd Instalment of Payment need to make After 20 Days of Booking date / Booking payment.
• Full payment must be made at least 25 days prior to the travel start date.
• Delay in payment may result in auto-cancellation without refund.
• GST + TCS Will Be Extra.
• Pan Card submission is Mandatory For Each Traveller

2. Inclusions & Exclusions

• Services mentioned in the final itinerary are only those included.
• Anything not clearly listed as "included" (meals, activities, personal expenses) will be treated as excluded.

3. Hotel & Accommodation

• Hotels are booked as per availability in the chosen category (Standard/Deluxe/Premium).
• Room check-in and check-out are based on standard hotel policy. Early Check-in or Late Check out may charge additional and will be borne by Guest.
• Standard Hotel Check in Time Is 15:00 Hrs.
• Standard Hotel Check Out Time Is 11:00 Hrs.
• Given Package Cost Is On Basic First Category Room. If Guest Want To Upgrade Room Category Supplement Cost Want Will Be Bear By Guest.
• Specific hotel preferences are subject to availability and must be confirmed in writing.
• Usage of Mini Bar In Hotel Room, Will Be Changeable As Per The Hotel Policy, Guest Need To Pay For Same.

4. Airline Policy

• We cannot make seat selection in group tour from our end if guest wants to seats together guest have to inform at boarding counter at airport for same.
•  The internal airline used are LCC, no food will be served on board.
• Luggage allowed only 20 kg check in luggage & 07 kg cabin luggage.
• Excess baggage charged will be bear by guest.

5. Meal Policy    

• There will be American or continental breakfast serve at the hotel and Vyas Tours & Travels cannot make any changes in the Breakfast.
• Lunch/Dinner wherever provided on tour is pre-set menus by the restaurants.
• The meal type selected by the guest such as veg./Non.Veg./Jain/Swaminarayan is strictly subject to availability at restaurants or airlines.

6. Child Policy

• CNB (Child without Bed): 3-6 year child with no bed. Please note there will be no bed for the child in the room.
• CWB (Child With Bed): 6-11 year with bed. There will be extra bed for the child in the room.
• In many International Hotels the Sofa is considered as an Extra Bed. In Such case there will be no other Bed and client need to accept Sofa as a Bed.

7. Cancellation Policy

• Cancellations must be communicated in writing.
• Refunds will be processed as per our Refund & Cancellation Policy.
• No refund will be provided for no-shows, unused services, or partial cancellations.
• First Deposit Is Non Refundable.
• Between 45 to 35 Days Departure - 35% Charges of Total Tour Cost.
• Between 30 to 21 Days Departure - 60% Charges of Total Tour Cost.
• Between 21 to 14 Days Departure- 80% Charges of Total Tour Cost.
• Last 14 Days of Departure - 100% Charges of Total Tour Cost.

8. Transport Services

• Transport will be provided as per itinerary. Vehicles are not at disposal unless explicitly mentioned.
• Extra usage beyond scheduled itinerary will be chargeable.
• AC in hilly areas may be turned off for safety.
• During sightseeing driver will try his best to park as much closer he can, from there guest has to make his way by walk or they have to make their own transfer if require any.
• In case of coach breakdown Vyas Tours & Travels will do their best effort to fix the problem as soon as possible. But make sure there will be no refund for inconvenience cause.
• Request to all guest please don't leave any unattended item in vehicle while leaving the vehicle. We Vyas Tours & Travels are not responsible for any loss or damage.
• There is no specific seat allocation. Will be allocate first cum first serve basis.
• Direct joining guest have to arrange hotel transfer for check in & check out day by them self.

9. General Terms & Policies:

• Operation of a group tour is a subject to minimum participation of 20 paying adult passenger.
• Any increase in visa fee airfare / fuel price change in government regulations taxes etc. will affect your tour cost.
• Tour itinerary will be strictly follow as per timing. In unavoidable situation our tour manager can make changes with the concern of Head office.
• Tour manager is not authorized to make changes in itinerary as per guest convenience.
• In case of any deportation due to immigration and custom clearance Vyas Tours & Travels will not be responsible. There will be no Refund for tour package in such case.
• Optional sightseeing have to be pre-book with an additional cost.
• There is no refund for any unutilized services.
• Itinerary cost is per person on Twin / Triple sharing basis. It include only those activities which are listed in the same.
• Itinerary cost does not include any personal nature expenses. Such as tips, misc. Expenses, laundry, liquor, porterage etc.
• International tour guest must have to reach airport before 3 hrs. Of departure time.
• For NRI-passengers staying in India for more than 180 days will have to take police clearance certificate from commissioner of police for which Vyas Tours & Travels will not be responsible. Passenger are requested to submit photo-state (Xerox) copy of passport along with page showing arrival stamp in India.

10. Amendments & Rescheduling

• Requests for changes in itinerary, hotel, or travel dates must be made at least 10 days in advance.
• All changes are subject to supplier availability and may involve additional cost.
• Any Specific Changed in Group Tour would not be entertained as it may affect other guests experience of tour.

11. Force Majeure

• The company shall not be held responsible for delays or cancellations caused by acts of God, war, natural calamities, political unrest, pandemics, or government restrictions.
• In such cases, the client agrees to accept alternate services or date rescheduling if available.

12. Health, Safety & Conduct

• The traveller must ensure they are medically fit to travel.
• Unruly behaviour, misuse of hotel/transport property, or violation of local laws may lead to termination of services without refund.
• Mask-wearing and hygiene norms must be followed during ongoing health advisories.

13. Liability & Responsibility

• We act only as a facilitator for hotel bookings, transport, and tours. We are not liable for loss, injury, theft, or damage during the trip.
• Any loss caused due to third-party suppliers, like airlines or hotels, shall be addressed with them directly.

14. Jurisdiction

• All disputes arising out of or in connection with this tour shall be subject to the exclusive jurisdiction of the courts of Rajkot city, Gujarat, India.
